MMC Privacy Policy

Marymount Manhattan College (MMC) is committed to protecting the privacy of the personal information that we collect, use, store, and disclose (“processing”) when providing academic programs and related activities through the use of our central website www.mmm.edu.

When we refer to “Personal Information” it means any information related to you that identifies or can reasonably be used to identify you.  

Information We Collect and Process

MMC does not sell, rent, give away or loan any identifiable information to any third party other than agents and contractors of MMC that are required to protect this information in a manner consistent with this privacy policy.  Our website utilizes software that may track and collect information from your device when you access our website.

Information we collect may include:

  • Internet domain and Internet address of the computer, mobile device or other device you use to access the Site.
  • Essential technical information collected includes the identification of the page or service you are requesting, type of browser and operating system you are using; and the date and time of access.
  • Optional information is collected only if you choose to send it. For example, choosing to complete an online form, register for an event, or send an email are optional actions.

For prospective students, we process the information we collect from you directly, either during our communications with you about MMC or as part of your application to MMC. In addition to submitting an application directly to us, you may submit an application through the Common Application.

For current students, we process the information we collect from you directly, including: during our communications with you, when you register for classes or other services, when you use MMC equipment, facilities, and resources, when you attend classes, apply for financial aid, use health and disability services, or when you utilize services of third-party vendors that contract with MMC as well as when you respond to communications from MMC and/or third-party vendors that contract with MMC.  This includes information about payments made for tuition and other expenses, your grades, scores, records of attendance and participation, and recorded observations about you.

In cases when information is required, that information will be marked “Required” or “Mandatory.” Failure to provide required or mandatory information may result in your being denied enrollment, eligibility, or other services offered by the College.

In addition, we collect the following types of information from third parties such as:

  • Contact and demographic information collected about prospective students who may be interested in attending MMC.
  • Health, wellness, disability and insurance information about you that we receive from other healthcare providers and/or insurance companies.
  • Payment and billing information.
  • Information about your prior or current educational history, which we collect from other educational institutions or from our own records in the event of a re-enrollment.
  • Information we collect from other students, staff or third-party vendors, whether in the process of reporting an incident on campus, alerting us to an emergency situation involving you, or making an inquiry about you.  This information can include your name, information about your behavior or activities, and other information about the situation being reported to us.
  • Information we receive about you from journals, research publications, or other platforms through which you publish academic content.
  • Information about you provided by commercial and non-commercial vendors that we contract with.

Security

We take reasonable administrative and technical steps to protect the Personal Information from loss, misuse and unauthorized access, disclosure, alteration, or destruction and, where feasible, systems that solicit or display personally identifiable information are protected by authentication and authorization controls and web-based experiences involving personal information are generally secured by SSL (Secure Sockets Layer protocol) with 128-bit encryption. However, no method of transmission over the internet is 100% secure. Therefore, while we strive to protect your data, we cannot guarantee its absolute security.

Pixels, Web Beacons and Cookies

MMC utilizes “cookies” to enhance the experience on our website and for marketing purposes. Cookies are text files placed in the browsers of your computer, mobile device, tablet or other device to store your preferences. We use cookies to understand website usage and to improve the content and offerings on our Site. We also may use cookies to offer you products, programs, or services, or to provide you with personalized online display advertising tailored to your interests. In addition, we may use the services of third parties to collect and use anonymous information about your visits to and interactions with our website through the use of technologies such as cookies to personalize advertisements.

MMC may collect a limited set of personally identifiable information about you to help manage our online advertising and promotions. Our website utilizes Google Analytics, Facebook pixels, and other software that may track and collect information from your device from the time you access our website. The information automatically collected is subject to their respective privacy policies. Social Media Features

Our site includes social media buttons and widgets, developed and maintained by MMC-approved vendors and/or third-party services “Social Media Functions.” These features may collect your IP address and pages you visited, and may set a cookie to enable the feature to function properly. Social Media Functions are either hosted by a third party or hosted directly on our sites. Your interactions with these features are governed by the privacy policy or statement of the company providing it.

 Purposes and Legal Basis for Processing Your Data

We process your personal Information to operate the College and the programs you are enrolled in, to provide you with financial aid and related services such as housing and health services.  We also use this data to:

  • Administer programs and course offerings,
  • File required reports with applicable governmental authorities,
  • Award financial aid,
  • Administer programs and provide services, including student health and disability services, financial aid, research and reporting activities, service opportunities, and excursions for faculty led study abroad courses,
  • Monitor trends within our student body and individual courses,
  • Verify identity and prevent fraud or criminal activity, and ensure the security of our IT systems, architecture, and networks,
  • Ensure that the College is prepared for emergencies and to fulfill our public safety obligations,
  • Enforce College policies, including but not limited to the Student Code of Conduct, and applicable laws,
  • Manage billing, collecting, refunding and cashiering functions,
  • Provide desktop and software support services,
  • Deliver online courses,
  • Facilitate internal research,
  • Engage in fundraising activities,
  • Compile statistics and conduct research for internal and statutory reporting purposes,
  • Coordinate events such as conferences and professional development, and
  • Facilitate student directory and promotional activities.
  • We combine the data that we collect in order to provide these functions.

Legal Basis for Processing

The following serve as the legal bases for the processing of your Personal Information described in the prior section.

  • We have a legitimate interest in retaining and educating qualified students; administering MMC and its programs in an efficient, ethical, and appropriate manner; improving our educational programs and services; marketing and promoting MMC; maintaining internal controls, and/or preventing, detecting, and investigating fraud; and securing our system, networks and facilities. We process all the information we collect from or about you to meet these purposes.
  • Once you have accepted an offer of admission and during the period of your enrollment, we may also be required to process your Personal Information to complete a contract that you have entered into with us or that we have entered into with a partner institution, including to be admitted to a program, or receive financial aid, housing, or another program or service from us.
  • We may process your Personal Information in order to comply with a legal obligation.
  • We may also process your Personal Information in the performance of tasks MMC carries out in the public interest (i.e., teaching and research)
  • In the case of Sensitive Personal Information (which includes information about your health, race, ethnicity, national origin, criminal convictions, religious or philosophical beliefs, sexual orientation, and trade union membership), we process information either (i) because we have your consent to do so or (ii) because we are required to process the information to comply with applicable federal and state tax, education and anti-discrimination laws.
  • Your Personal Information is processed for purposes compatible with those already described, including for the purposes of conducting scientific, statistical, or historical research or for the purpose of creating archives in the public interest. Where possible, identifiable information is not used for these purposes, or pseudonymous data is used to limit the amount of personal Information we use in our research or archives

When we process your sensitive personal information on the basis of your consent, you may withdraw that consent at any time by contacting the Vice President for Finance and Administration.  If you withdraw your consent, we may still be required to process your sensitive personal information to comply with applicable law, but we will explain what processing activities will continue for legal compliance purposes.

Recipients of Your Personal Information

Your Personal Information will be received and processed by:

  • MMC personnel and service providers:  your Personal Information may be shared with other departments and operational units at MMC for the purposes specified in Section V above. We share your Personal Information with our service providers only when they have agreed to process your Personal Information only to provide services to us and have agreed to protect your Personal Information from unauthorized use, access, or disclosure.
  • MMC may also share your Personal Information if required to do so by law pursuant to valid legal process, applicable regulation or in the good faith belief that such action is necessary to (i) comply with a legal obligation, (ii) protect and defend our rights or property, and/or those of you or others, (iii) act in urgent circumstances to protect the personal safety of you or others, or the public, or (iv) protect us against legal liability.

Data Retention

We keep data about prospective student applicants for no less than 3 years, and data about actual applicants for no less than 3 years after your last semester of attendance. If you are accepted to and enroll at MMC we retain your permanent file data (such as admission app and transcripts) throughout your period of enrollment and for an indeterminate period thereafter.

Your Rights

Depending on the country in which you reside, you may have the right to the following information regarding processing of your Personal Information:

  • The purposes of the processing,
  • The categories of Personal Information concerned,
  • The recipients or categories of recipients to whom the personal information have been or will be disclosed,
  • Where possible, the period for which the personal information will be stored, or, if not possible, the criteria used to determine that period.
  • Request access to the personal information MMC has about you, as well as the right to request rectification of any data that is inaccurate or incomplete.
  • Lodge a complaint with the supervisory authority where you believe that your rights have been violated.
  • Opt out of the processing of your personal information for marketing and other purposes.
  • Right to erasure of your personal information when it is no longer needed for the purposes for which you provided it, as well as the right to restriction of processing of your personal information to certain limited purposes where erasure is not possible.

In some cases, however, MMC may not agree to some or all of your request if:  it is not permitted or required under applicable law or contractual obligation; continued processing is necessary for the purpose for which it was collected; processing is for public health, research or statistical purposes; the request is not consistent with MMC’s legal obligations or is necessary for the defense of legal claims; or it is necessary for the performance of a contract between an individual and MMC.  In such cases, Northeastern will provide reasons for its refusal and the name of the person who can answer questions about the request. 

In order to process the request, MMC will need original proof of identity, and if making the request on the behalf of another individual, evidence of authorization to do so.  MMC will process received requests promptly and within the timeframe required by applicable law.
